This is the checklist we run on every broker file we process. It's organized as five passes — run them in order, tick all 27 boxes, and only then does the file leave your desk. Print it, pin it, or better: make it the last screen anyone in your operation sees before a submission goes out.
Before you start: the one rule that makes checklists work
A checklist you run “when things are busy” is a checklist you don't have. The value is in the every-single-file discipline: the ritual takes about ten minutes, a bounced file costs two to five business days. How to run it: five passes, in order, no skipping. Each pass is fast because it looks for one kind of failure at a time — completeness, dates, consistency, story, then lender quirks.
Pass 1. Identity & compliance — 5 checks
- 01Government ID captured, both sides, legible, unexpired.
- 02Application signed and dated by every applicant.
- 03Credit consent signed before the bureau was pulled.
- 04Your brokerage's full disclosure set delivered and acknowledged.
- 05Applicant names, DOBs, and current address identical across ID, application, and credit bureau — any variation (maiden name, unit number) explained in the notes.
Pass 2. Income & employment — 6 checks
- 01Pay stub present and within the lender's age tolerance — measured against the expected closing date, not today.
- 02Employment letter on letterhead: dated, position, status, salary, and a verifiable contact.
- 03T4s / NOAs for the years the program requires — every page.
- 04Self-employed: two years of T1 Generals with statements of business activities, plus NOAs confirming no tax arrears.
- 05Variable or rental income: your written calculation of the figure used, with the method named (two-year average, offset, etc.).
- 06Probation, recent job change, or employment gap — addressed in the cover note before the underwriter asks.
Pass 3. Down payment & assets — 5 checks
- 0190-day history on every account contributing to the down payment — all pages, no gaps between statements.
- 02Every large or unusual deposit traced to a documented source.
- 03Gifted funds: gift letter signed, and the deposit visible in the account history, matching the letter's amount.
- 04Funds from sale of property or investments: closing statement or liquidation confirmation attached.
- 05Closing costs covered on paper — confirm the lender's required cushion beyond the down payment itself.
Pass 4. Property & purchase — 6 checks
- 01Purchase agreement complete — every schedule, every amendment, every signature and initial.
- 02MLS listing attached; property details consistent with the application (address, taxes, condo fees, square footage).
- 03Appraisal ordered or booked per the lender's process — and logged with a chase date, not just an order number.
- 04Condition dates in the agreement vs. today's date: enough runway for approval and condition clearing, flagged loudly if not.
- 05Condo: status/estoppel certificate requirements confirmed for this lender and program.
- 06Rental or second property: lease agreements and the rent figure your income calculation actually used.
Pass 5. File hygiene & submission notes — 5 checks
- 01Pages pass: open every document one last time — every page of every multi-page file present and readable. This catches more bounces than any other single check.
- 02Dates pass: nothing in the package expires before the likely closing date; anything close is flagged for a planned refresh.
- 03Consistency pass: names, addresses, and dollar amounts match across application, documents, and agreement.
- 04Cover note written — three lines minimum: deal shape, income math, and anything unusual with its explanation.
- 05Lender quirks confirmed: this lender's forms, statement rules, and program-specific documents double-checked against their current requirements.
The payoff: a file that survives all 27 points almost never comes back for completeness — and a broker known for clean files earns faster, smoother reads on every future submission.
