The people admin can run itself. The decisions cannot.

Practical guidance for Canadian employers on automating onboarding, employee records, time off, policy questions and offboarding — without letting software make a call about somebody’s job.

By the numbers

The admin behind every hire, leave and departure adds up quietly.

Hours, not days

what a full onboarding pack takes once drafting, signing and filing are triggered from one hire record

Always current

employment records that stay up to date because the system keeps them, not because somebody remembered to

One file

per employee, in one place, ready for the day an employment standards claim or a records request actually arrives

What are you dealing with?

Every path bundles the articles, guides and expert answers that solve one specific problem — in the order we’d tackle them.

“Onboarding is a Word template and a reminder in somebody’s calendar.”

One hire record triggers the agreement, the policy acknowledgements, payroll setup and system access, then chases whatever has not come back. Nothing depends on a person remembering the sequence.

“Nobody can tell me how much vacation this person has left.”

Requests, approvals and balances live in the HRIS and reconcile to payroll on their own, so the answer is the same whoever is asked and whenever they ask.

“Our policies are in a PDF nobody has opened since they signed it.”

Staff ask a question in plain language and get an answer drawn from your own handbook and the employment standards that apply in their province, with anything unclear passed to a person.

“Review season eats three weeks and produces four paragraphs.”

Scheduling, chasing, collating and formatting are automated. The content, the rating and the conversation stay entirely with the manager, which is the only part that was ever worth the three weeks.

“Someone left and we are still finding accounts they had access to.”

A departure record drives one checklist across HRIS, payroll and IT, so final pay, the Record of Employment, access removal and equipment return all move together.

“An employee asked for their file and we had to go looking.”

If the record is created as a by-product of running the process, producing it later is a search rather than an archaeology project.

Questions people are asking.

Straight answers to what people ask us most before they start.

Will AI decide who gets disciplined or let go?+

No, and we will not build it that way. Termination and discipline are legal decisions with notice and termination-pay consequences under provincial employment standards. AI can assemble the record and draft the paperwork after a person has decided. It has no business making the decision.

Which privacy law applies to our employee records?+

It depends on who regulates you. PIPEDA covers employee personal information only in federally regulated works, undertakings and businesses, such as banks, telecoms and interprovincial transport. Alberta, British Columbia and Quebec have their own private-sector privacy laws, declared substantially similar to PIPEDA, that reach employee information. Elsewhere, your obligations come from employment standards record-keeping, your own contracts and policies, and the general law. Settle which applies to you before a tool touches the file.

Do we have to replace BambooHR, Humi or our payroll system?+

No. The automation is built into what you already run, whether that is BambooHR, Humi, Rise, or a payroll platform such as Wagepoint, ADP or Dayforce. Replacing an HRIS is a separate decision and rarely the one that pays off first.

Can AI answer staff questions about entitlements?+

It can answer first-line questions from your own handbook and the employment standards that apply in the employee’s province, and escalate anything it is not certain about. Two rules matter: it never gives legal advice, and an employee can always reach a person instead.

How long does a first pilot realistically take?+

Most employers can run a scoped pilot on one workflow, usually onboarding or time-off admin, in four to eight weeks without pausing anything.
