AI that gets the numbers ready, so your team reviews instead of retypes

Practical guidance for the accounting function inside Canadian manufacturers, contractors, clinics and distributors on using AI to speed up close, reconciliation and filing, without moving who reviews, approves or signs off.

By the numbers

The cost of manual close and reconciliation work adds up quietly, month after month.

Days, not weeks

what a month-end close looks like once first-pass reconciliation and accrual drafts are ready before your team sits down

Fewer

quarter-end GST/HST scrambles and year-end surprises once working papers stay current instead of rebuilt at the deadline

Considerable

controller and bookkeeper time returned to review and explanation once first-draft matching and coding stop being manual

Figures are illustrative ranges drawn from published industry analysis, not guaranteed outcomes; actual results depend on your business. All AI outputs remain subject to human review.

What are you dealing with?

Every path bundles the articles, guides and expert answers that solve one specific problem — in the order we’d tackle them.

“Month-end always slips past the first week because reconciliations don't even start until everything's finally entered.”

AI does the first-pass match on bank, credit card and AP sub-ledgers as transactions land, so your team is reviewing exceptions on day two instead of starting from zero once the month closes.

“Every invoice sits in someone's inbox until the PO and the approval get chased down manually.”

AI matches invoices to POs and receiving records and routes only the exceptions and threshold approvals to a person — GL coding still goes out under someone's login, not the system's.

“Reconciling three bank accounts and two credit cards by hand eats a full afternoon every month.”

AI proposes the match against the bank feed and your QuickBooks Online or Sage ledger, and flags what doesn't tie out — the reconciliation still isn't final until someone signs it off.

“The GST/HST return always turns into a scramble the week it's due.”

AI keeps the input tax credit and output tax working papers current as transactions post, so the return is a review, not a rebuild, before you file.

“Our external accountant sends the same adjusting-entry questions every year.”

AI assembles the working papers, accrual schedules and variance notes your accountant actually asks for, organized before the file goes out the door.

“The monthly variance report takes longer to build than the numbers took to close.”

AI drafts the first pass of the variance commentary against budget or prior period, so your controller edits and explains instead of starting from a blank report.

№ vPopular Questions

Questions people are asking.

Straight answers to what people ask us most before they start.

Will AI decide what gets booked, reconciled or filed?+

No. AI drafts matches, flags exceptions and assembles working papers. A controller or bookkeeper reviews, approves and files everything; nothing posts or submits on its own.

Is it a PIPEDA problem to run vendor, client or payroll data through an AI tool?+

It depends on the vendor's data handling, where the data is stored and processed, and what it's used for beyond your own account. Confirm those terms, especially for anything touching client or employee information, before piloting.

Will this replace our bookkeeper or controller?+

No. AI handles the first-pass matching and drafting; it doesn't replace the person who reviews the numbers, explains a variance, or is accountable for what gets filed.

Does this work with QuickBooks Online, Sage or Xero, or do we need to switch systems?+

It's built to work with what you already run — QuickBooks Online, Sage 50, Sage Intacct, Xero, NetSuite or Microsoft Dynamics 365 Business Central. The goal is to speed up matching and drafting inside your existing ledger, not migrate you to a new one.

How long does a first pilot realistically take?+

Most accounting teams can run a scoped pilot on one workflow, such as bank reconciliation or GST/HST working papers, in four to eight weeks around a normal close cycle.
